Job summary

Are you a proactive individual with demonstrable administrative experience, a passion for customer service, excellent IT and communication skills and the ability to work well as part of a busy team?

We are seeking to appoint a Student Records Manager (Student Services) to work within the Student Records team in the Registry. In this role you will be responsible for managing the student-facing services within the Student Records team. Working closely with the Student Hub, and other central professional services, the Student Records Manager will ensure the delivery of high-quality services to students including official documents, DBS checks and providing confirmation of enrolment to third parties such as the Student Loans Company and Transport for London.

You will take responsibility for the data quality and maintenance of student’s personal details including names, contact details, biographic information, and emergency contacts. This role also has responsibility for delivering the College’s vision of an excellent student and staff experience; empowered staff; and integrated systems.

The remit of the department is wide and this specific student services role, will sit alongside two department facing Student Records Manager (Department Services) roles to ensure that the team is committed and successful in delivering an exceptional service to students, staff and other stakeholders, internal and external to Imperial College. This is an exciting new role to the Student Records team with scope to improve existing services and have a positive impact on the student experience and on the quality of data held within the team.

Duties and responsibilities

You will be responsible for the line management of the Student Records Administrators including training, development and appraisal. You will also manage the allocation and prioritisation of their work, ensuring this aligns with the priorities of the wider team.

You will be responsible for producing accurate documents for students, such as statements of attendance and there will be engagement with external stakeholders such as HEDD and SLC.

You will also be contributing to key projects to ensure that all services managed by Student Records that relate to students such as access control, registration and enrolment, are all contributing to an excellent student experience and processes are well documented and reviewed as required.

Essential requirements

    • Experience working in a similar role, ideally in a student records environment and in a management capacity.

 

    • Experience of reviewing and making improvements to existing business processes

 

    • Ability to work well under pressure with good personal organisation and time management.

 

    • The ability to elicit cooperation from busy colleagues, including academic staff.

 

    • Working proactively to plan your work, and that of others to contribute to the success of the wider team.

 

  • Excellent customer-care skills including sensitivity to the needs of the customer.
