The Fundraising & Supporter Development Office has been integral to achieving the university’s ambitious goals and mission.

Reporting to the International Alumni Manager, the Alumni Assistant will work to support the work of the Alumni Relations Office by assisting with the delivery of international alumni engagement activities as well as the alumni volunteering programme activities.

You will be confident in events delivery and will be adept at managing several deadlines at once. You will be motivated by being in a front-facing role and being able to interact with alumni on all levels and preferably have event and volunteer management experience.

This post will be offered on an indefinite contract.

This is a full-time post

Key Responsibilities

  • Supporting mass international engagement and events (virtual and in-person)
  • Provide excellent support to the expansion of digital alumni platform King’s Connect and the alumni volunteering programme
  • Process all international marketing requests for volunteers
  • Ensure timely response to incoming emails and correspondence
  • Prioritise daily workload and assist with the management of workload across the Alumni Relations team
  • Create events checklists and assist with the maintenance of events resources
  • Liaise with external suppliers for the coordination of mailings and printing of invitations and collateral
  • Uphold and role model an excellent customer service level
  • Occasionally provide basic cover for other colleagues within the Alumni Relations team
  • Uphold and promote the department’s Core Values and Culture
  • Attend training courses and workshops as part of personal and professional development
  • Communicate in person, by telephone and email with alumni, current students, academic staff as well as colleagues across the department
  • Support the International Alumni Manager, Senior International Alumni Manger, International Alumni Coordinator, and Alumni Volunteer Manager as required
  • Support with relationship management of international volunteer community by acting as first point of contact for enquiries

Skills, knowledge, and experience

Essential criteria

1. Previous event or administrative experience

2. Excellent written and verbal communication skills

3. Excellent organisational skills and attention to detail

4. Proficient in Microsoft Word, Outlook, Excel

5. Ability to prioritise and manage a demanding workload and work on several different projects at once

6. Team player attitude with a willingness to step in to support others where needed

7. Ability to use initiative and make quick decisions under pressure

8. Flexible approach and willingness to attend some commitments outside of regular hours

Desirable criteria

1. Educated to degree level or equivalent

2. Knowledge of best practice in volunteer management

3. Experience supporting and running online events

4. Experience using Raiser’s Edge, or a relationship management database

5. Experience using Mailchimp, or a similar emailing platform
