The Role

We are looking for a highly motivated and enthusiastic individual to join the School of Engineering Engagement and Events team as an Events and Communications Administrator. This is a varied and wide-ranging role which covers School wide event administration and support for student (both current and prospective), industry and colleague facing events.

You will be an excellent communicator with experience of social media and have great interpersonal skills, with the ability to build positive working relationships with all colleagues and customers. A forward thinking, pro-active and positive “can do” attitude and flexible approach is vital to ensure the success of the role. Your ability to work alone using initiative is required as well as building and maintaining effective working relationships at all levels to ensure you are a key member of our team.

You will ideally have a solid understanding of event management and experience of running successful large and high profile events.

Occasional evening and weekend work will be required to support events.

Key Accountabilities

  • To have oversight of, and take responsibility for, the planning and delivery of professional andeffective events within the School. This will include forward planning, sourcing and bookingvenues, ordering any catering or equipment, identifying staffing requirements etc.
  • To coordinate and quality assure the work of support staff to ensure effective delivery ofevents, including possible line management of Events Support Assistants.
  • To ensure that events are effectively marketed, advertised and communicated through allrelevant channels and to all appropriate audiences.
  • To deliver best practice in event management through gathering post event feedback, and throughcomparator and competitor analysis. To then implement those practices, in conjunction withrelevant teams, to ensure the School utilizes all opportunities for and from these activities.
  • To take responsibility for information gathering tools that support the School’s Engagement andCommunications plan, ensuring colleagues in the School are aware, and make use of, thesemechanisms to share their news, success stories, opportunities etc.
  • To work with minimal supervision to share news and opportunities via the appropriatechannel(s), including newsletters, social media platforms, webpages, intranet pages etc.
  • To manage the development and maintenance of all administrative systems and processesnecessary to support the delivery, monitoring and evaluation of engagement and events activity.
  • To be key contact in the School for all engagement and events stakeholders throughout thepreparation, delivery and evaluation of events or communications activity.
  • To manage relationships with all internal and external contacts and suppliers as required.
  • To ensure all Health and Safety considerations are adhered to in consultation with the SchoolHealth and Safety Officer.
  • To support the School and carry out any other duties within the scope and general nature ofthe grade as required.

The Person

Qualifications

Essential

  • Grades A-C in English Language and Mathematics GCSE (orequivalent) or vocational qualifications, plus work experiencein a relevant role; or substantial relevant work experience in acomparable setting.

Knowledge,Skills and Experience

Essential

  • Working knowledge of relevant systems, equipment, processes and procedures including standard software packages.
  • Experience of working with a range of stakeholders, including senior managers in a large organization.
  • Excellent communication skills, both verbal and written, with demonstrable experience of writing content for external audiences and very good attention to detail.
  • Strong numeracy skills with the ability to monitor funding and costs of events.
  • Excellent I.T. skills, with experience of maintaining webpages or social media accounts.
  • Ability to work calmly under pressure with minimal supervision and to manage competing deadlines.
  • Ability to carry out occasional work out of standard business hours which will be required to support the events programme.
  • Ability to apply relevant health and safety and other University policies and procedures.
  • A flexible attitude to work demands and customers and a commitment to excellent customer service.
  • Excellent organisational skills, with ability to solve problems.
  • Experience of project/events management.

Desirable

  • Experience of managing staff and ability to train/develop staff.
