The Ashmolean Museum is the University of Oxford’s museum of art and archaeology, founded in 1683. Its world famous collections range from Egyptian mummies to contemporary art and it has a reputation for hosting a variety of events. We have an exciting opportunity for you to join our established Event Team as a part time Event Coordinator.

In this role you will oversee the delivery of our events to an exceptionally high standard, ensuring at all times the safety of both the visitors and artefacts within the Museum. From event set up to break down you will demonstrate exemplary customer service and communication skills, which you will use when interacting with guests, colleagues and suppliers.

You will be supervising and motivating our diverse team of Evening Event Assistants using your natural leadership skills and empathy. You will provide this team with effective briefings prior to the start of each event, and de-brief them afterwards, recognising the importance of both conveying and seeking constructive feedback.

You will work closely with the Event Operations Manager, attending weekly or ad hoc meetings and training as required. You will be comfortable in performing routine administrative duties, having a working knowledge of Microsoft Office applications.

You will be motivated by performing your role to an excellent standard and be confident, calm and diplomatic in any professional situation. Ideally, you will have working experience from a busy catering, retail or customer experience background. This is an active role, for which a lot of walking and the performance of some light manual handling duties is required.

You will have knowledge of basic security procedures and health and safety requirements in a public environment, and be able to apply and develop this for working in a highly sensitive building.

This is a part-time post, working 21.9 hours (0.6 FTE) a week. The majority of this time will be spent working at events, completing related administration and attending meetings (both virtually and in-person). Many of the events you will be working take place in the evening, although a number occur during the day. Thus, flexibility is key to this role, as events may occur during the week, at weekends, on bank holidays and at short notice. You will be assigned events to supervise in advance and be able to manage your time effectively, working closely with the Event Operations Manager to organise your tasks on a weekly basis.
