Grade 5: Salary £26,341 – £31,406 p.a.

We are seeking to recruit an enthusiastic and highly organised individual for the role of Personal Assistant, to work within the Nuffield Department of Orthopaedics, Rheumatology and Musculoskeletal Sciences at the University of Oxford. You will be based at Kennedy Institute of Rheumatology, Oxford.

The post holder will support Professor Christopher Buckley, a senior clinician-scientist & Head of Clinical Research and Professor Mark Coles, a senior scientist, & Director of Graduate Studies at the Kennedy Institute of Rheumatology, NDORMS. The focus of their laboratory work is on the role of stromal cells in inflammation. Together they are also responsible for the support of clinical researchers and graduate students in the Kennedy Institute. They take an active role in organizing meetings to advance exchange of knowledge in basic and experimental medicine.

You will plan and organise Professor Buckley and Professor Coles daily workload to ensure that deadlines and goals are met, independently arranging appointments to be both practicable and an efficient use of their time, co-ordinating and facilitating travel arrangements, including production of itineraries, booking of flights, hotels, travel insurance, etc. You will act as first point of contact for Professor Buckley and Professor Coles: managing all enquiries and dealing effectively with all incoming correspondence, emails, and telephone calls, diverting correspondence to the appropriate person where it does not require the personal attention of Professor Buckley or Professor Coles and liaising appropriately. The work will include handling confidential and sensitive information and the post holder will have to deal with this in a professional and correct manner.

You must be educated to at least A level standard or equivalent, have a high degree of accuracy and attention to detail, have excellent spoken and written communication skills and a high standard of literacy e.g. in drafting correspondence and taking minutes. Experience of publication, editorial support and proof reading; experience with technical writing, as well as experience in administration or PA work, including electronic diary organisation, providing support to a senior post holder and internal/external members of staff is essential. Experience in planning and arranging academic meetings and knowledge of scientific and financial terminology.

This is a full time, fixed-term until 1 May 2024 (in the first instance).
